Conditions for use

The instruments are primarily for the use of French research projects or international projects with a French scientific component.

Loan periods can vary from a few weeks to two years. In exceptional cases, instruments can be used for multi-year campaigns if the need is recognized at national level and if this does not block other scientific needs.

The conditions of use of the Epos-France SMM instruments are laid down in a specific agreement under which the person responsible for the acquisition campaign undertakes to :

Pay a usage fee for deployments

The usage fee (see below) includes consumables (batteries, weights, release consumables), as well as instrument depreciation and maintenance costs, which are calculated on the basis of the replacement cost of the instruments multiplied by a percentage according to the number and duration of deployments. Depreciation takes into account the risk of loss and deterioration of instruments. In certain cases (if the boat and/or the site present unknowns or difficult conditions), the monitoring committee may require the user to take out insurance in addition to the user’s contribution. Invoices are sent to the person in charge of the acquisition campaign. Payment of the co-payment is requested 3 months before the mission, with the exception of rapid interventions, for which a payment solution will be defined on a case-by-case basis.

Cover all costs relating to customs clearance, shipping and return of equipment

from the storage site to the campaign site. The park takes care of the packaging and shipping of the instruments for dispatch and return, and the invoices are paid by the person in charge of the acquisition campaign. Taking into account the booking schedule, it is sometimes possible to reduce costs by having the equipment transported by the campaign vessel.

Cover the travel expenses of the technical staff involved in the poles

(excluding sea allowances). All deployments must be carried out by the park’s technical team. This team is sized according to the work to be carried out on board, which depends on the number of instruments and deployments. When requesting support, the description of the work to be carried out enables the technical team to be sized.

Provide information enabling the oversight committee to ensure the adequacy of resources at sea for deployment and recovery.

It should be remembered here that instruments must be deployed during missions on a suitable vessel with suitable lifting equipment, and on a site that presents no particular difficulties. The deployment/recovery vessel must have adequate equipment and laboratory space for the mission. In addition, the time required for these operations must be approved by the monitoring committee and verified by the person in charge of the acquisition campaign. The specifics of the vessel must be specified as soon as possible, and imperatively before the OBS are dispatched. If the vessel does not belong to the French research fleet, its specifications must be forwarded to the Monitoring Committee, which is responsible for approving them. A mission leader must be present on board the vessel during instrument deployment and recovery.

Deployments and recoveries were made during cruises XXXX (DOI:xxx) and YYY (DOI :yyy), respectively.

Make data available

for archiving and distribution via the Epos-France information system (SI-Epos-France). The OBS park supplies data and metadata to the SI-Epos-France. The person in charge of the acquisition campaign undertakes to take part in their verification and to provide Node A SMM with all information on positioning, orientation, synchronization and clock drifts, as well as any changes to these. Data is restricted for a default period of 3 years. This period may be reduced to 0, 1 or 2 years at the request of the person responsible for the acquisition campaign, or extended to 5 years at his or her express and justified request. Metadata is freely accessible as soon as it has been integrated into the SI-Epos-France.

Deployment fee

The deployment fee finances maintenance, depreciation and insurance costs.

  • The cost of consumables includes batteries (depreciation in the case of rechargeable batteries), anchors and other single-use parts.
  • The depreciation/maintenance cost, cam, will be calculated according to the value of an instrument (v) from the following formula: cam = ((kn*n) + (kt*t))*v where n is the number of deployments, t is the total time of deployments in months, and kn and kt are constants, typically 1.5% and 0.5%, respectively. These constants can be adjusted according to the specificities of each park.
